Why Agile Beats Big: How Flying Ledger Is Built to Evolve With You

The accounting software most finance teams rely on was architected years ago, long before the current wave of AI became practical. That creates a hard problem for the incumbents: their applications are enormous, deeply embedded in customer workflows, and expensive to change. Every meaningful upgrade puts a lot at risk. So they move slowly, and the gap between what the technology can now do and what their products actually do keeps widening.

We took the opposite bet. Flying Ledger is built to evolve — to absorb new capabilities as they mature and to adapt to what CFOs and multi-unit operators actually need, not what fit into a roadmap written a decade ago.

We don’t create new data. We make the data you already have trustworthy.

This is the core idea. Your numbers already exist — in QuickBooks, in your point-of-sale, in your event bookings. The problem isn’t a shortage of data. It’s that the data is scattered across entities and systems, and nobody has time to run every check that would prove it’s accurate.

That’s the work we automate. Flying Ledger connects QuickBooks, Toast, and Tripleseat per entity and keeps them synced automatically. From there it runs the checks and balances a diligent finance team would run if they had unlimited hours:

  • Daily POS reconciliation — comparing daily point-of-sale revenue against what the POS system itself reports.
  • Intercompany reconciliation — confirming what one entity owes another matches on both sides of the books, and flagging it when it doesn’t.
  • Revenue recognition — breaking event data down by category and posting the correct deferred-revenue and revenue journal entries into QuickBooks.

The result is a set of numbers you can actually stand behind, without the manual grind.

From verified data to decisions

Clean, reconciled data is the foundation. The point is what you do with it. Flying Ledger turns that verified data into the insights and operational actions that improve financial performance:

  • A CFO Dashboard showing cash, debt, revenue, net income, and accounts payable across every entity in a portfolio, with drill-down into any number.
  • Treasury with real bank and credit-card balances, a health score, and automatic alerts when an account needs attention.
  • A lender-ready financing snapshot with loan balances and debt service coverage ratio (DSCR).
  • A payables view that cleans up messy vendor names and shows every open bill across entities by who it’s really owed to, plus what’s coming due.
  • Ask Fly, which answers financial questions using the platform’s live numbers — not a guess.

Multi-entity operators get the most out of this, because that’s where the reconciliation and cross-entity rollups do the heaviest lifting. But any business on QuickBooks benefits, and standalone operators do too.

Why getting in early actually matters

Flying Ledger is in active use internally with real customer data today. It is not yet open as a public beta — which is exactly the point of this post.

An agile platform is only as good as the problems it’s pointed at. Right now we’re building this out, and the operators who join early aren’t just first to benefit from what already works. They get to put the problems we haven’t solved yet in front of us. Our commitment is straightforward: bring us the headache, and we’ll solve it — so that everyone who shares that problem benefits from the fix.

That’s a different relationship than you’ll get from a large, slow-moving vendor. When your reality shapes the product instead of the other way around, the tool bends to fit your operation.

If you’re a CFO or a multi-unit operator tired of waiting on software that can’t keep up, this is the moment to be at the table.
